This policy will be reviewed and approved before being published as the final version.

1. Who we are

Energy Efficiency Skills Institute (EESI) is a Registered Training Organisation (RTO 46127), ABN 22 664 172 730. We deliver insulation, retrofit, safety and energy efficiency training across Australia. Contact us at info@eesi.edu.au.

We collect only the personal information we need for enquiries, enrolment, training and assessment, learner support, AVETMISS and USI obligations, and other legal requirements. A collection notice is provided on our forms and website at the point of collection.

2. What we collect

Depending on how you engage with us, we may collect:

  • Name, contact details, and enquiry information (including via our website contact form).
  • Enrolment and student records (including AVETMISS-required data where applicable).
  • Unique Student Identifier (USI) for verification as required by law.
  • Payment and invoicing details.
  • Support, LLND, assessment, and certification records.
  • Technical data such as form submissions and basic website analytics (if enabled).

We only collect sensitive information where it is reasonably necessary for our functions (for example learner support) and with your consent, or where another exception under the Australian Privacy Principles applies.

3. Why we collect it

We use personal information to:

  • Respond to enquiries and provide course information.
  • Enrol you, deliver training and assessment, and issue AQF certification where eligible.
  • Verify your USI and meet national VET reporting obligations (including AVETMISS/NCVER).
  • Process fees, refunds, and employer sponsorship.
  • Provide student support and manage complaints/appeals.
  • Meet legal and regulatory obligations.
  • Improve our services and website.

If we use your personal information for direct marketing, you can opt out at any time by emailing info@eesi.edu.au or using the unsubscribe method in the message (APP 7).

4. How we collect it

We collect information directly from you (forms, email, phone, enrolment packs), from your employer if they sponsor your training (with appropriate authority), and through our student systems (including Cloudemy when live).

5. Who we share it with

We may share information with:

  • Regulators and national bodies as required (e.g. ASQA, NCVER, USI Registry).
  • Service providers who support our operations under contract (e.g. SMS/LMS, email, payment, accounting).
  • Your employer if you have authorised sponsorship/progress sharing.
  • Professional advisers where required.

We do not sell your personal information.

6. Overseas disclosure

If a service provider stores or processes data outside Australia, we will take reasonable steps to ensure appropriate protections. Details of specific providers can be requested via info@eesi.edu.au.

7. Security, access controls and retention

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access.

  • Access to student records is role-based and limited to staff who need it to perform their role.
  • Records are retained only for the periods required by VET regulation, then securely destroyed or de-identified.
  • We maintain a data breach response process: suspected breaches are contained, assessed and, where an eligible data breach is identified, notified to affected individuals and the OAIC as required.
  • Please do not send USI details or sensitive information by casual email — use the secure student system (Cloudemy) where available, or contact us for a secure alternative.

8. Access and correction

You may request access to, or correction of, your personal information by emailing info@eesi.edu.au. We may need to verify your identity.

9. Complaints

Privacy concerns can be raised with info@eesi.edu.au. We aim to respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC).

10. Updates

We may update this policy from time to time. The version on https://eesi.edu.au/privacy is the current public version once approved and published.
